How to write an email for a job application (7 samples for freshers)
5 min readBy the HireSol Careers TeamUpdated
Quick answer
A good job application email has a clear subject line (role name + your name), a 3–4 line body that says which role you're applying for, your strongest relevant proof with a link, and why you're interested, followed by a polite close, your full name and phone number. Attach your resume as a PDF named with your name, and send it from a professional email address.
Most hiring managers decide in a few seconds whether to open your resume. A short, clear email makes that decision easy. Below are templates you can copy and adapt, plus the rules that make them work.
The rules of a job application email
- Subject line: role + your name (+ one strong detail). "Application: Frontend Developer (Fresher) – Riya Mehta" beats "Job application" or an empty subject.
- Keep the body short: 80–150 words. Recruiters read on their phones.
- Lead with proof: one project, internship or result, with a link.
- Attach a PDF resume named "Firstname-Lastname-Resume.pdf".
- Professional email address and signature: full name, phone, LinkedIn or portfolio.
- Personalise the first line: use the person's name and the exact role.
- No "Respected Sir/Madam" chains, no long paragraphs, no all caps.

Common mistakes
- Empty subject line or "Resume" as the subject.
- Sending the resume with no text in the email.
- Mass emails with 50 recruiters in the "To" field.
- Attaching a Word file named "resume (2) final.docx".
- Writing "Please find attached my resume for any suitable post": it tells the recruiter you don't know what you want.

Frequently asked questions
What should I write in an email when sending my resume?
Mention the role you're applying for, one line about your strongest relevant proof (a project, internship or result, with a link), one line on why you're interested in the company, and a polite close with your phone number. Attach the resume as a PDF.
What is a good subject line for a job application email?
Use the role and your name, for example "Application: Content Writer – Aisha Khan". Adding the job ID or "fresher, 2026 graduate" helps the recruiter sort it.
Is a cover letter necessary for freshers?
Usually not as a separate document. A short email body or the "cover note" field on an application form does the same job. Write a full cover letter only if the listing asks for one.
When should I follow up after sending my resume?
After 5–7 working days. Send one short, polite follow-up, and if there's no reply after another week, move on and keep applying elsewhere.
Should I send my resume as PDF or Word?
PDF, unless the employer asks for Word. A PDF looks the same on every device and is harder to edit accidentally.
